If a form needs to add several answers together before showing the next question, Airtable's native form builder cannot do that while the person is filling it out.

For example, a sponsor may split a budget between Booth Space, Social Media, Print Advertising, and Event Sponsorship. Once the amounts add up to 100%, the form should stop asking for more budget categories. It should also stop someone from submitting a total greater than 100%.

Airtable can show or hide a field based on an earlier answer, but its formula fields calculate after the form creates the record. For simple answer-based visibility, see how to show form fields conditionally in Airtable forms. For a running total that controls the form as someone fills it out, use Fillout and keep Airtable as the place where the responses are stored.

A form showing a budget total reaching 100 percent while the next field stays hidden

Use Fillout for a running total

The sponsor form needs a different setup because the next question depends on the total of several answers.

Create the form in Fillout and connect it to the Airtable table that will store the submissions. Add the same budget fields to the form:

  • Booth Space
  • Social Media
  • Print Advertising
  • Event Sponsorship

Create a calculation called Total Budget and add those fields together. Fillout recalculates the value as the sponsor enters each amount.

Use Total Budget in the form logic. Show the next budget field while the total is less than 100, and hide it when the total reaches 100.

The sponsor sees another budget field only while there is still budget left to assign.

Stop an incorrect total from being submitted

Hiding the next field does not by itself check the final answer. Add a validation rule that allows the form to be submitted only when Total Budget equals 100.

If the sponsor enters 60% for Booth Space and 20% for Social Media, the form does not allow submission because the total is 80%. They can add the remaining 20% before sending the response to Airtable.

When the form is submitted, Fillout writes the budget fields to the Airtable record.
